MARKETING CONTENT MANAGER

Full-time/exempt position

BASIC FUNCTION

To assist the Director of Marketing and Communication in promoting Flynn events and activities by supporting marketing campaigns for performing arts programming, education, and development; writing, editing, and coordinating with designers on Flynn Marquee magazine, annual season brochure, and FlynnArts, Student Matinee Series, and Burlington Discover Jazz Festival publications; general copywriting and editing as needed; and helping to tell the story of the Flynn’s nonprofit mission through creative written, video, and/or audio content.

DUTIES & RESPONSIBILITIES INCLUDE:

  • Manage the production of annual season brochure; write/edit brochure copy in consultation with Director of Marketing and Artistic. Coordination with outside designers and vendors is necessary
  • Content Creation: assist with creating print and digital content that promotes Flynn activities and supports the organization’s mission
  • Create auxiliary materials audio to promote shows and post links to existing web content, with emphasis on video production
  • Edit/write copy for individual performances, educational activities, and fundraising events
  • Tell the story of the Flynn’s educational and community work through video, audio, blogging, and social media
  • Write and edit press releases and calendar listings for Flynn activities
  • Proofread and copyedit all promotional materials, including brochures, postcards, posters, and ads
  • Coordinate editorial content for the Marquee magazine, working with each departments to manufacture content
  • Contact agents and companies for marketing content and maintain inventory of promotional materials
  • Maintain Flynn social media, staying current with trends. Create, coordinate, and upload content to Facebook, Twitter, Instagram, YouTube, and other channels
  • Manage Google Ads Account
  • Perform related duties as necessary

QUALIFICATIONS:

  • Bachelor’s degree in English, journalism, digital media, communications, or marketing

GRAPHIC DESIGNER - PART TIME

BASIC FUNCTION

The part-time graphic designer will design and implement print and web solutions to support the Flynn’s marketing department

DUTIES & RESPONSIBILITIES INCLUDE:

  • Design promotional materials (ads, playbills, posters, Marquee member magazine)
  • Help maintain Flynn brand standards and develop new materials based on new guidelines

MANAGER OF GRANTS AND CORPORATE GIVING

Full-time/exempt position

BASIC FUNCTION

As a member of the development team and reporting to the Director of Development, this position will be responsible for developing and implementing a solicitation strategy that includes prospect identification, cultivation, proposal writing and stewardship. The Manager of Grants and Corporate Giving must have excellent written and verbal communication skills and the ability to manage multiple projects simultaneously.

DUTIES & RESPONSIBILITIES INCLUDE:

  • Draft compelling grant proposal narratives for general operating and restricted project grants; assist with drafting corporate proposals as needed 
  • Responsible for conducting the full range of activities required to prepare, submit, and manage grant proposals, in coordination with other departments
  • Achieves the annual fundraising goal for grants and corporate giving
  • Builds the grants and corporate solicitation program to achieve ongoing growth in both cash and future commitments of support. This includes developing both long-term solicitation strategies and an effective stewardship effort to maintain support from existing donors.
  • Research funding opportunities and manage a portfolio of prospects.
  • Coordinates with other development staff and board members on solicitations
  • Identifies other projects and programs at the Flynn that fit the funding interests of specific foundations and plans the solicitation of those prospects.
  • Develops and maintains professional relationships with program officers before, during and after grant cycles.
  • Organizes opportunities for site visits and other cultivation for current and prospective donors.  
  • Comply with reporting and evaluation as required
  • Develop a thorough understanding of institutional history and programs.
  • Maintain current records in database and in paper files, including grant tracking and reporting.
  • Track statistics relevant to development and provide department with written materials necessary for donor stewardship
  • Work closely with development and marketing teams to oversee sponsorship fulfillment and benefits management.
  • Performs other similar and related duties as required or directed.

QUALIFICATIONS:

  • Demonstrated ability in proposal writing; candidates with experience working in the arts a plus
  • Knowledge of cultivation, solicitation, and stewardship strategies and techniques particularly in the area of grants and corporate giving
  • Candidate must demonstrate exceptional written ability and strong presentation, communication, and organizational skills.
  • Must be a skilled facilitator, capable of articulating institutional objectives to funders.
  • Experience working in a fast-paced, results-oriented environment and demonstrated flexibility in meeting shifting demands and priorities is a must.
  • A high degree of creativity, energy, and initiative is required.
  • Ability to work collaboratively in a team setting.
  • Be highly personable with the ability to represent the Flynn and to deal effectively with a wide range of individuals Sound understanding of and enthusiasm for the mission of the Flynn and the ability to articulately convey this mission to others.
  • Experience with fund raising technology and integrated database systems a plus.
  • Some nights and weekends required for attending performances, education programs and other mission-related activities

CREATIVE PRODUCER OF THE FLYNN YOUTH PERFORMANCE PROGRAM

Part-time/ Variable position depending on show schedule

BASIC FUNCTION

Responsible for the vision and implementation of the youth performance programs including Show Choir and the Summer Musicals.

DUTIES & RESPONSIBILITIES INCLUDE:

  • Develops and manages, in conjunction with the Youth Programming Manager, the overall vision, programmatic structure, and polices to support ongoing growth of participants and the program
  • Leads the research and selection of material for Show Choir & summer productions
  • Maintains ongoing annual calendar for Performance Program productions, auditions, and events
  • Hires, supervises, and evaluates artistic team for all projects
  • Leads a team that coordinates and sources costumes, props, scenic design elements, and other technical needs for productions
  • Maintains and tracks budget for the program overall and show by show
  • Serves in a leadership role by providing constructive feedback to team members and students during all phases of production
  • Leads tech meetings for the summer musicals to ensure all participating departments are progressing according to timeline and budget
  • Leads auditions and places students in accordance with program placement policies
  • Ensures all rights are purchased and secured according to performance calendar
  • Manages communication with team, with participants, and with Flynn staff
  • Oversees tech week and strike for end of semester Show Choir performances, working collaboratively with Flynn Space technical staff and designers

EDUCATION ASSISTANT

BASIC FUNCTION

The Education Assistant is responsible for general operational and programmatic support of the Flynn’s education and engagement initiatives. This position’s main contributions will involve data management, order processing, event support, and ongoing communication with patrons including educators, students, teachers, and teaching artists. 

DUTIES & RESPONSIBILITIES INCLUDE

  • Processes education orders in database including class and camp registrations, workshop bookings, student matinee series ticketing, and sales reporting
  • Create, distribute, and track invoices, enter payments for department accounts receivable and process check requests
  • Assist in upkeep of records for Teaching Artists faculty, consultants, and partners including hiring paperwork, contracts, payments and payroll, check reimbursements, key distribution, parking and ticketing passes
  • Preparation, ordering, and inventory of supplies, and studio upkeep
  • Serve as an event assistant coordinating event, final performance, and class trip logistics and day-of support including booking catering, facilities set-up, tracking registration or guest lists, participation certificates, and tickets
  • Support department wide marketing efforts including website updates, email blasts, photo and video documentation, flyering and outreach, giveaways
  • Active communication and customer service support with Flynn patrons regarding booking, reschedules or cancellations, outstanding invoices, and general communication
  • Other duties as assigned

QUALIFICATIONS:

  • Associates degree or equivalent years experience working in the arts, education administration, or similar field with tranferrable skills
  • Strong database and event management software experience, Event Management Systems and Tessitura or equivalents preferred; technical proficiency and experience in MS Office, ability to learn a wide variety of online softwares including WuFoo, Humanity, BitVice, and ModX
  • Experience with special events
  • Customer service experience with proven record of excellent interpersonal communication skills

DIRECTOR OF INFORMATION TECHNOLOGY

BASIC FUNCTION

Direct and coordinate activities of the IT Department. Plan, prioritize and assign all IT projects.  Provide technical support to the Tessitura, plan, prioritize and implement new web technology and functionality.

DUTIES & RESPONSIBILITIES INCLUDE

  • Administer and manage SQL database operations. Manage security, create custom reports, screens and queries, implement and design new functionality, install software and SQL upgrades. Follow safe and secure database procedures. Stay informed of new SQL.
  • Work with Marketing Director and Departmental staff on website development to design new functionality, train users on procedures, provide backup for web updates, respond to web issues, and administer online ticketing service.
  • Manage company domains and security certificates (SSL), including renewals, additions and forwarding. Manage web server administration tasks. Coordinate annual website and web server security audits. Lead, maintain and implement proper Search Engine Optimization. Support and create procedures for web offers and promotions. Analyze and review web analytic data.
  • Supervise, maintain and create policies for credit card security. Assure organization is current on PCI and PII compliance. Maintain and recommend changes to the IT Security Policy. Plan and provide training to Flynn staff about IT security policies and procedures.
  • Supervise Systems Administrator to ensure daily operational tech needs are met in a timely manner. Direct and prioritize Helpdesk tickets.
  • Coordinate, carry out, and supervise system maintenance functions for all computer hardware and software.
  • Troubleshoot/diagnose and supervise a wide variety of hardware and software operating problems; arranging for outside support as needed.
  • Perform network administration tasks using Microsoft Windows server and Active Directory Services. Approve all new user accounts and security privileges.
  • Create system and company policies for email, web, social media, and general technology usage. Maintain Disaster Recovery Policy to assure proper contingency plans are in place.
  • Assure proper security of network systems by implementing secure access policies, maintaining and approving proper firewall policies and keeping up-to-date on security risks.
  • Coordinate and maintain all telecommunications systems including approval of monthly telephone expenses. Routinely review and negotiate telecommunications contracts to assure reliable, cost effective service.
  • Maintain Internet service, coordinate services with vendors, approve contracts, and coordinate changes to service.
  • Create, maintain and monitor budget for information systems. Maintain records of capital expenditures and expenses. Design, approve, and purchase new equipment including; servers, workstations, printers, routers, firewalls, telephones, software. Be available for occasional off-hours support for both emergencies and during occasional off-hours upgrades, installations and system procedures.
  • Provide a wide range of technical instruction and support to users.
  • Support remote users and ensure security policies are adhered to.
  • Perform other duties as necessary.

QUALIFICATIONS:

  • Associate's degree in computer science or other appropriate discipline, with bachelor's desirable, plus three to five years of relevant technical experience, or a combination of education and experience from which comparable knowledge and skills are acquired.
  • Solid base of technical knowledge and skills in computer hardware and software installation and operation, with relevant network management experience.
  • Good working knowledge of various business PC applications, with expertise in software/systems used at the Flynn desirable.
  • Experience with automated telephone system administration desirable.
  • Knowledge and experience with network security and on-line commerce.
  • Knowledge and experience with Windows network administration.
  • Knowledge and experience with Microsoft Exchange administration.
  • Knowledge and experience with report writing tools.
  • Knowledge and experience with web authoring tools and website development.

FACILITIES ASSISTANT

BASIC FUNCTION

Carry out a full range of custodial, maintenance, and light carpentry tasks in support of the Facilties Department

DUTIES & RESPONSIBILITIES INCLUDE

  • Change Marquee letters. Must be able to lift 45 pound ladder and work at the top of a 10’ step ladder.
  • Carry out day-of-show house and backstage custodial/maintenance functions.
  • Maintain daily cleanliness of office spaces, dance studios, and bathrooms.
  • Perform general maintenance of electrical, heating, plumbing, ventilation, and other mechanical systems; troubleshoot problems, repair if possible or obtain or recommend outside service or replacement.
  • Perform light carpentry and painting projects
  • Replace light bulbs, clean lobby mirrors and concession area.
  • Stock concession supply. Must be able to lift and carry 30 pounds.
  • Remove snow and ice from all entrance/exit areas, sand and salt. Must lift 50 pound bags of salt and sand and be able to shovel snow.
  • Perform general street front, parking lot, and grounds cleaning and maintenance work.
  • Perform the Fire Department pre-show check of emergency lights and egress ways and maintain log.
  • Collect, sort and prepare/package and manage recyclable materials program. Must be able to roll 100 pound recycling container.
  • Set up for various special events sponsored by the Flynn. Move furniture, 35 pound tables and roll stacks of chairs.
  • Perform other duties as necessary.

QUALIFICATIONS:

  • High school plus 2-3 years of relevant custodial/maintenance experience, or a combination of education and experience from which comparable knowledge and skills are acquired.
  • Basic reading, writing, and math skills.
  • Ability to deal courteously and efficiently with patrons, vendors, contractors, staff, and others.
  • Physical ability to perform all essential job duties.
  • A car and clean driving record.
  • Ability to work a flexible schedule including weekend/evening work.

CUSTOMER SERVICE REPRESENTATIVE

BASIC FUNCTION

To sell tickets and provide information about various Flynn Center events and many events at regional venues, in person at the box office, by phone and at off-site locations. To perform basic customer service functions.

DUTIES & RESPONSIBILITIES INCLUDE:

Be informed of all current Flynn events and other regional events sold at the Flynn Regional Box Office. Be familiar with pricing and ticket sales policies and procedures. Provide a wide range of information about events sold at the Flynn Regional Box Office, including descriptions of events, performance times, available seating, ticket pricing, pickup, refund and exchange policies and procedures and other information as needed. Accurately process ticket sales, over the phone, at the box office window and at off site locations. Request and enter all necessary customer data into box office ticketing system. Accurately prepare ticket orders for Will Call and US/Canadian Mail delivery. Include applicable parking and other informational inserts. Meter postage and drop mail in the post box in a timely manner. Perform various basic customer service functions.  Receive, investigate and respond to customer questions or complaints in person, by phone and by mail, referring unusual problems or situations to a Box Office Supervisor as appropriate. Assist Box Office Supervisors with general clerical work in the box office. Assist with special projects on an as needed basis.

Direct supervision is received from the Box Office Supervisors.

QUALIFICATIONS:

High school plus one year of relevant office, sales and/or customer service experience, or a combination of education and experience from which comparable knowledge and skills are acquired. Data entry skill and general clerical skill required. Above average Customer Service skills. Ability to deal courteously and efficiently with customers, including ability to describe events and explain seating options and ticket pricing and sales policies. Familiarity with performing arts box office operations helpful.

QUALIFICATIONS:

TEACHING ARTISTS

The Flynn Center seeks Teaching Artists in Dance, Theater, and Music. We offer classes in schools for PreK – 12th graders as well as at the Flynn Center for community members of all ages. We welcome experienced educators as well as those looking to gain experience in the perfoming arts education field. The Flynn is committed to providing training for applicants; please apply if you are strongly interested even if you have less experience.

CONCESSIONS SUPERVISOR

Oversee operations of the concession counter for all scheduled shows applicable.  This includes set-up, serving prior to show and at intermission, clean up and cash out. This position must be DLC trained.

This is a part-time, variable position. Retail and customer service experience a plus. Must be able to walk, stand, and carry on vigorous activity for an extended period of time.

  • ·.   Arrival time is 1 1/4hr prior to show time, report to house manager
  • ·.   Concession counter open/ready to serve 45 minutes prior to show
  • ·.   Get run times/intermission info and money from House Manager
  • ·.   Greet Spirits upon arrival, assign duties
  • ·.   Do beginning inventory, set up counter
  • ·.   Monitor sales and help serve
  • ·.   Check IDs and serve beer and wine
  • ·.   The counter is not staffed during the show, HM will monitor
  • ·.   Just prior to intermission, Spirits set up for intermission rush   
  • ·.   After intermission, oversee clean up of counter and kitchen
  • ·.   Cash out and fill out inventory sheet, check out with HM and give cash bag to store in safe
